About Toronto Outdoor Art Fair

Toronto Outdoor Art Fair (TOAF) is Canada’s leading outdoor and online art fair. Established in 1961 to connect Canadian artists directly to the public, TOAF showcases 400+ emerging and established visual artists, including painters, photographers, sculptors and artists working in ceramics, textiles, jewellery and more. The event brings together 165,000 art lovers and enthusiasts who spend over 2 million dollars on art during the Fair. This free public event takes place every July – rain or shine – at Nathan Phillips Square in the heart of downtown Toronto. Since 2020, TOAF’s online Fair has become Canada’s fastest-growing e-commerce and discovery platform for artists across Canada.

Volunteer Coordinator

Engagement Conditions: Independent Contractor 
Contract Dates: April 1 – July 25, 2024 (Casual/Part-Time)
Contract Fee: $5,000

Toronto Outdoor Art Fair (TOAF) is looking for a Volunteer Coordinator to manage the volunteers at the 63rd edition of Canada’s largest and longest-running outdoor art fair. This event showcases the works of over 400+ contemporary artists, as well as music and dance performances, art installations, food vendors and a beer garden to 165,000 visitors at Nathan Phillips Square July 12 – 14, 2024. The Volunteer Coordinator is responsible for the recruitment, training, scheduling, and management of over 150 volunteers necessary to implement the onsite Fair. TOAF is a small not-for-profit art organization delivering a major, demanding and fast-paced event. The ideal candidate is resourceful, autonomous and has great agility and mental flexibility. 

The Volunteer Coordinator’s responsibilities include

  • Manage the application process and call for volunteers Interview prospective Volunteer Captains Facilitate and run informative, energetic volunteer and captain training sessions
  • Maintain and update volunteer database/software (Volgistics), including setting shift schedules, role descriptions and tracking volunteer attendance
  • Best efforts to secure partnerships with local businesses to support volunteer perks
  • Manage volunteers and the schedule to ensure volunteers are well-informed of the event, their tasks, responsibilities and break times
  • Be present on-site at all times during the event 
  • Manage the Fair wrap up (‘Thank You’ communications, gather volunteer feedback, issue confirmation of hours certificates when requested, provide names of those who completed VAACT requirements to VAACT committee)

Position Specifications

It is essential that the Volunteer Coordinator has:

  • 3+ years experience in volunteer management, community outreach, event or staff management
  • Experience managing groups of people – skilled in communicating, coordinating, leading and motivating groups of people to achieve a common goal
  • Agile, resourceful, and autonomous with high level organizational skills
  • Strong ability to prioritize, with superior attention to details 
  • Ability to perform under pressure in a demanding and fast-paced large-scale event with calm and poise
  • A natural problem solver 
  • Be available to work flexible hours

It is desirable that the Volunteer Coordinator has:

  • Prior experience managing volunteers in similar cultural events and festivals
  • Knowledge of the goals and activities of TOAF
  • Familiarity with Nathan Phillips Square venue and operations
  • Familiarity with Volunteer management software
  • Previous experience with staff and/or volunteer recruitment or marketing outreach
  • AODA training and experience working with people with disabilities
